Queen’s Academy of The Arts

Our mission is to make performing arts accessible to create connection and community. This is a transparent, living document. Policies may be updated at any time and will be communicated as needed.

1. Registration & Service Process

Families register via queensacademy.ca, select their desired program, and submit the form along with sending payment via e transfer to queensacade@hotmail.com.
A confirmation email and a PDF with dates and program info are sent once registration is processed.
If a child requires additional support and notes this on the form, Queen’s Academy contacts the family directly by phone to coordinate accommodations.

2. Hours of Operation

Program hours vary depending on the class or camp:

After-school programs typically run between 3:00-5:00PM on weekdays.
Evening programs vary by location and program – previously Thursdays 6:00-7:30PM.
Day camps generally run full weeks from 9:00AM-5:00PM.

3. Photo & Video Release

By registering, you give permission for your child to be photographed or filmed for educational, promotional, and archival purposes (including Queen’s Academy’s website, social media, and newsletters). If you do not consent, please indicate this clearly on your registration form and email us in writing before the first class.

Parents may also take photos and videos during performances and special events unless otherwise stated.

4. Liability Waiver

By registering, you acknowledge that participation in performing arts activities may involve risk of injury or illness.
You agree to:

Assume all risks related to participation.
Release and indemnify Queen’s Academy, its instructors, and staff from liability in the case of accident or injury, provided that normal safety procedures are followed.
Queen’s Academy is not responsible for lost or stolen items during programs.

5. General Refund Policy

14+ days before start date: Full refund, minus $25 admin fee.
After 1st class but before 2nd class: Refund minus $50 processing/participation fee.
After 2nd class: No refund.
Case-by-case partial credits may be considered for family emergencies or illness.
No fee to switch to another program (space permitting).

6. Day Camp Refund Policy

14+ days before start date: Full refund minus $25 processing fee.
Less than 14 days' notice: No refund.
After camp begins: No refund.
Switching weeks within the same camp season is allowed (space permitting).
Partial credits may be granted in emergencies.

7. Missed Classes

Missed group or private lessons are non-refundable, non-transferable, and non-creditable.
Private lessons missed without prior notice are considered forfeited. Instructors may allow students to switch spots with others if arranged in advance.

8. Sick Policy

Children should not attend if they exhibit new symptoms of illness.
If symptoms are older than 3 days and improving, attendance is permitted.
Queen’s Academy reserves the right to send a student home if they appear unwell.

9. Cancellations

By Queen’s Academy: If a class is cancelled due to low enrolment, families will be notified at least 7 days before start. Full refunds or credits will be provided.
Force Majeure (e.g. pandemics, extreme weather): Classes will be rescheduled but are not refundable or creditable.
Teacher absence: A substitute will teach. If no one is available, the class will be rescheduled.

10. Punctuality, Pick-up, and Care

Students must be dropped off and picked up promptly.
We do not provide before or aftercare.
Students 10 and under must wait with a guardian unless alternate arrangements are made.
Afterschool students go directly to the program room at dismissal.
Late pick-up: More than 5 minutes late incurs a minimum $20 fee, applied at our discretion based on circumstances.

11. Payment Policy

Full payment is due within 24 hours of registration.
Unpaid registrations may be cancelled or waitlisted.
Accepted payment methods:
Interac E-Transfer (to queensacademy@hotmail.com – include child’s full name, program, and date)
Cash or cheque (arranged in advance)

Please refer to our Accessibility Statement for details about sliding scale fees.

Payments are accepted via e-transfer only and include a receipt. This reduces processing costs, saving you 10% on average per registration, while aligning with our values of access.

12. Trial Lessons & Private Instruction

Trial lessons are charged at the single lesson rate.
Private lessons continue through school breaks unless stated.
Notify the instructor if you’ll miss a lesson. No refund or reschedule for missed lessons.
Late arrivals: Over 5 minutes late to a lesson without contact = no-show.

13. Communication

Email is our primary form of communication.
By registering, you agree to receive emails related to your child’s classes and Queen’s Academy news.
We are not responsible for missed info due to email filters—please check your spam/junk folders regularly.

14. Right to Cure (Remedy Clause)

If you are dissatisfied with our service, you agree to give Queen’s Academy the opportunity to address and resolve the concern before taking further action. This “Right to Cure” allows us up to 5 business days from receiving a written concern to investigate and offer a reasonable remedy.

15. Guarantees & Warranties

While Queen’s Academy strives to provide the highest quality of service, performing arts education involves individual growth that may vary by student. No specific outcomes are guaranteed, but we offer support and guidance throughout the learning process.
